Start with the exact sugar specification
Before approaching buyers, define the grade and measurable specification you can supply, origin, packing, minimum commercial quantity, shipment window and available Incoterms. Ask what product they purchase, typical shipment size, destination port, required documents and procurement process. A serious inquiry should become more specific as the discussion progresses.
Verify the legal entity independently and make sure the people communicating with you are connected to that organization. Do not rely on a logo, messaging-app profile or document sent by the counterparty as the only proof of identity.
Build a comparable commercial offer
A supplier quotation should identify the product, specification, origin, quantity, packing, price basis, Incoterm, port, validity, shipment timing and payment terms. State clearly what is excluded. Avoid quoting an attractive number without defining the commercial basis because it creates confusion and makes genuine buyer comparison difficult.
Plan documentation and import compliance
Import requirements can depend on the product, origin, buyer status and current Chinese rules. The buyer and supplier should establish which commercial, transport, origin, health or inspection documents apply to the specific transaction. Regulatory eligibility should be confirmed with competent authorities or qualified trade professionals rather than assumed from a previous shipment.
Protect the transaction process
Keep material terms and changes in writing. Verify bank details independently before payment, and investigate unexplained changes in beneficiary, company name or account jurisdiction. Suppliers should also qualify demand before spending heavily on samples, inspections or documentation requested by an unverified prospect.
