A Checklist for Domestic Wholesale Food Sourcing
Questions about product specifications, storage, delivery and traceability when evaluating U.S. wholesale food suppliers.
Specify exactly what you need
State the product type, grade, size, packaging, order quantity and intended use. Distinguish fresh, chilled and frozen products. Ask which substitutions are available and whether the quote is for a specific lot or ongoing supply. Buyers and suppliers should confirm applicable requirements for their own products and operations.
Discuss handling and delivery
Ask about required storage conditions, transport arrangements and receiving procedures. Confirm who arranges freight and how arrival problems should be reported. Specify the delivery city and state, appointment needs and your capacity to receive the shipment. A delivery plan should fit both the product and your receiving operation.
Request relevant documents
Ask for product specifications, lot information and supporting documents that your business requires. Clarify the supplier's role and where the product originates. Review documents with qualified staff where appropriate. A marketplace listing or uploaded document alone should not be treated as an independent assurance of compliance.
Review traceability and discrepancies
Ask how the supplier identifies batches and handles quality complaints or recall notices. Agree on inspection timing and what information to provide if an order differs from the accepted specification. Keep the product description, quote, lot details and delivery records together.
Confirm before ordering
Recheck current availability, delivery schedule, freight, accepted specifications and payment terms. Consider a sample or initial order when appropriate.
