How to Write a Strong RFQ for International Suppliers

Learn how buyers can write a clear international RFQ covering product specifications, quantity, destination, Incoterms, timing and quotation requirements.

A strong RFQ gives qualified suppliers enough information to prepare a comparable offer without forcing them to guess the buyer’s basic requirements.

Identify the exact product

Use a precise commercial and technical description. Include grade, standard, dimensions, composition, model, origin preference or other attributes that materially affect the offer.

State quantity and delivery pattern

Specify trial quantity, recurring volume or total project quantity and whether shipments are one-time or scheduled. Suppliers need this information to assess capacity and pricing.

Define destination and trade basis

Include destination country, port or delivery point and the Incoterm you want quoted. If you are open to alternatives, ask suppliers to separate them clearly.

List required documents and certifications

State known regulatory, quality, origin, inspection, packaging and labeling requirements so suppliers can confirm capability before quoting.

Tell suppliers how to respond

Ask for price, currency, MOQ, lead time, payment terms, quote validity, packing, production capacity and any deviations. A response template makes comparison easier.

Build a repeatable trade process

Use one controlled set of commercial requirements, verify counterparties at a level appropriate to the transaction, and keep written records of material changes. International trade involves product, logistics, compliance, documentation and payment risk, so platform presence or a single document should never replace independent due diligence.
